Conference on Precision Electromagnetic Measurements 2016 (CPEM 2016)

INSTRUCTIONS FOR AUTHORS

Authors are invited to submit a 2-page summary paper in English to be considered for an oral or poster presentation at CPEM 2016. The deadline for submission is January 8 extended to January 15, 2016 11:59 p.m. EST (Eastern Standard Time). Authors are asked to submit 2-page summary papers using the online submission link found on this page. You can find a complete list of topics and sub-topics under the section Conference Scope.

2-page summary papers can be submitted via the online Submission Portal ONLY. There is no paper form to complete or mail. Faxed and mailed submissions will not be considered.


Part I – General Instructions

Submission Period: November 4, 2015 to January 8 extended to January 15, 2016 11:59 p.m. EST (Eastern Standard Time).

Language of Submission: All 2-page summary papers must be submitted in English with accurate grammar and spelling suitable for publication.

Draft Status: If you do not click on the Proceed button (on Step 5 of the abstract submission service), your 2-page summary paper will be saved in Draft Status (marked “in Progress” on the overview page). You will then be able to review it and submit it at a later time (but only before the deadline).
*Note: 2-page summary papers that are in draft status after the deadline will not be considered for selection.

Changes and corrections: Once submitted, it is possible to make corrections to the paper content or information (such as Presenter details, topic, etc.) until the deadline. In order to correct your 2-page summary paper you must access your submission via the website using your user name and password and edit your submission prior to the deadline.
*Note that changes to your 2-page summary paper are not possible after the deadline. Only changes requested by reviewers will be allowed after the submission deadline. In the case of errors discovered after the deadline, you may indicate the correction during the presentation at the conference. However, changes will not be included in the publications.

Withdrawal: If you want to withdraw a 2-page summary paper already submitted, please notify us as quickly as possible at CPEM2016abstracts [at] legendconferences.com stating the title and submission ID number of the paper to be withdrawn.
*Note that withdrawals are still possible after the submission deadline.

Acceptance of 2-Page Summary Papers: An email message will be sent to the Submitter by mid-March 2016 with a report on the status of the 2-page summary paper (accepted or declined). The Conference Technical Program Committee will determine the format, day and time of presentation. The presenter will be required to register to the Conference by April 29, 2016 11:59 p.m. EST (Eastern Standard Time) to confirm their acceptance and be included in the Conference Program and Digest. Accepted authors who do not register by the deadline will not be included in the Conference Program or Digest and will be removed from the Accepted Papers Listing.

Note to Authors: Abstracts of the accepted 2-page summary papers will be available online. The accepted 2-page summary papers will be distributed at the Conference and referenced on the IEEE website after the conference.
Submission of a 2-page summary paper constitutes the commitment of at least one author to register for the conference and present their work either orally or through a poster. Expenses associated with the preparation and submission of the 2-page summary paper are the responsibility of the author/presenter.

In order to be part of the CPEM 2016 Program, the author/presenter must register by APRIL 29, 2016 11:59 p.m. EST (Eastern Standard Time) and must submit payment at that time.

Travel Support: The 2016 Conference on Precision Electromagnetic Measurements announces a travel support program to assist scientist from Central America, South America, and the Caribbean to attend CPEM 2016. Please visit the CPEM 2016 Conference website for more information. Applications must be submitted during the Summary Paper submission process.

Part II - Paper Preparation

2-page summary papers must be submitted online in pdf files, and they must conform to IEEE specifications. The deadline for submission of summary papers is January 8 extended to January 15, 2016 11:59 p.m. EST (Eastern Standard Time).

A signed IEEE copyright form is required for each 2-page summary paper. It can be uploaded (in a separate file) when the 2-page summary paper is submitted. Copyright forms can be found at:

We recommend that you prepare your 2-page summary paper in Word, and for your convenience, we provide a Word template (last updated November 4, 2015). A LaTeX template (last updated December 16, 2015) is also available. Please use the format and fonts found in these templates. The format is different from the format used in previous CPEMs. Please do NOT use old CPEM templates. Note that the new template includes a Copyright clearance code notice that appears at the bottom of the first page. Follow the directions in the template to customize the Copyright notice sentence by selecting the one that applies to your paper.

Before submitting your 2-page summary paper, please verify that it complies with IEEE specifications for pdf files by using the IEEE PDF eXpress website. The Conference ID is 37065X. You can either submit your pdf file for checking, or you can submit a source file and PDF eXpress will convert it to a pdf file that complies with the IEEE specifications (See “Using IEEE PDF eXpress” on the PDF eXpress website for instructions and for a list of acceptable file types for converting.) IT IS THE AUTHOR’S RESPONSIBILITY to assure that the manuscript is IEEE compliant. The Technical Program Committee does not plan to check each manuscript as it is submitted. Any problems may not be caught until the digest is in production, and at that time it may be too late to correct, resulting in the omission of the paper from the digest. Although the PDF eXpress website offers to collect papers for submission to the Conference, you must still submit your 2-page summary paper through the CPEM 2016 submission process described below.


Part III – 2-page summary paper submission process

Following the link at the bottom of this page will take you to the 2-page summary paper submission site.

Once you are in the submission site system either
1. Create your personal profile with a user name and password, OR
2. Login with the user name and password you created or those provided to you
After logging in you can access your profile and make changes, if necessary.

You can then start the online submission of your 2-Page Summary Paper. Complete each section following the guiding instructions on the form and save your changes as you proceed with the process. At any point you may select "Save and Exit" and return later to complete and submit your 2-page summary paper.

2-page summary paper submission limit: There are no limits to the number of 2-page summary papers a submitter may submit, but each submission deals with a single 2-page summary paper. The abstract of any 2-Page Summary Papers is limited to a maximum of 100 words.

Presenting Author: The same presenting author (oral or poster) may be assigned to more than one (1) 2-page summary paper as presenter or as co-author. Submission of any 2-page summary paper constitutes a commitment by the submitter/presenter to present it if accepted.

Co-Author(s): You will be given an opportunity to include co-authors on your submission and to confirm that they are aware of being included in this submission.


2-page summary paper submission: On the “Part II - Paper Submission” section of the “Step 5 of 5 - 2-Page Summary Paper Submission” page, you will be asked to upload your paper. This should be a PDF file that has been verified to comply with IEEE specifications using the IEEE PDF eXpress site, as instructed above.

Next you will be asked to upload the IEEE Copyright form.

Once these files have been uploaded you can review your 2-page summary paper prior to final submission and make changes if necessary. After reviewing all the information, select "Proceed" to finalize the submission.

You may then logout or return to your home page to submit another paper. You may replace an uploaded 2-page summary paper at any time on or before January 8, 2016 11:59 p.m. EST (Eastern Standard Time).
