According to Conference Policy: 160.2.0 Required Background Checks 160.2.1 Anyone (18 and older) serving in a leadership or participant capacity on behalf of the Wisconsin Annual Conference who works with children, youth (under the age of 17), the elderly, the incapacitated or those with handicapping conditions, the homeless, mission projects beyond the local church where membership or constituency is held – in-state, nationally and/or internationally, or counseling and crisis intervention, in compliance with our commitment to Safe Sanctuaries, is required to have a legally certified federal background check. Currently, the only form of background check that certifies a person’s legal identity requires a Social Security number. There are no exceptions to this requirement. Federal background checks are valid for 2 years, then must be updated.

All Chaperone and Leaders will need to have a background check completed and up-to-date with the Conference Office in order to attend the event.

Are we expected to follow Safe Sanctuaries policies?
YES, you ARE expected to follow the Safe Sanctuaries policies.

Short version: You are expected to follow Safe Sanctuaries policies at SE District Youth Event, which is an overnight event.
  • You must have adequate chaperones for your students, students must be chaperoned at all times (including during the General Sessions), and adults must be responsible for their students.
  • For sleeping arrangements, adults and youth may NOT sleep in the same rooms and there should be no mixed-gender rooms. The only time that youth and adults are allowed to share rooms is if all of the adults and youth are related to each other, but non-related individuals may not sleep in that room.
  • Also remember that even though adults are not sleeping in the same room as the youth, they are still responsible for the behavior of their youth.
  • If for logistical and/or financial reasons, your church has trouble achieving compliance, we recommend that you contact other churches attending SE District Youth Event to pool rooms and resources. If you do not know of other churches attending SE District Youth Event, please contact your circuit and/or call the Conference office and we will assist you.
  • Please Note: the chaperone that brought each youth may not be the chaperone that is in the same building as the youth due to the number of bunk beds in each cabin and gender.

Note: Reading this 'short version' does not absolve you of your responsibility to read and comply with the entire policy.
