Frequently Asked Questions
Nau mai, whakatau mai! Kei nga wharangi nei nga korerorero mo nga hui ka whakaritenga e Auaha mo Ako Panuku. 

Each course may have slightly different parameters about what is covered by Ako Panuku and what is not.

Specific detail will be included in the course outline, registration form and within the final confirmation email. We have provided some generic policies on this page, but we strongly recommend that you check directly with the Auaha Event Manager assigned to your course, if you are unsure.

Travel and Accommodation

If travelling by air, you must be able to produce identification with the name used for the booking. 
If you have requested a rental car, you must be over the age of 21 and have a full valid NZ Drivers Licence that must be produced upon pick-up. 

Please note that once travel has been booked and paid for (including flights, car rentals and accommodation), the cost for any changes or cancellations will be the responsibility of the school and will be invoiced accordingly. 

Who books my air travel?   Travel will be provided for those who live outside the city where the course is being held, you will be asked to indicate your travel requirements when you register. Auaha will arrange all flights and email an itinerary to you - you will be asked to check the itinerary and advise changes within 7 days or sooner if the lead-in time is short. Once e-tickets have been issued by the airline, any changes to bookings may be at the individuals expense. 

Please do not book your own flights independent of Auaha unless advised otherwise. 

We will do our best to accommodate your requested flights, but seat availability will determine which flights will be booked. 

How much can I claim for mileage? Only travel over 60 kms (round trip) in a personal vehicle is reimbursed and paid by 50 cents per km (the first 60 kms will be deduced from the total kms). Travel under 60 kms is not reimbursed. Any mileage claim should be based on the shortest distance - either from our work or home.

Can I be reimbursed for the cost of parking? Yes. Please ensure that all receipts are kept and attached within the expense claim email. 

Who books my accommodation? Accommodation will be provided for those who live outside the city where the course is being held. This will be arranged by Auaha with the hotel once your attendance is confirmed by completing the registration form. 

Accommodation is offered on a twin share basis. If you would prefer your own room you are required to meet 50% of the room cost.

Shuttle/Taxi Transfers.  Auaha organise shuttle/taxi transfers in the city where the course is being held and you will be emailed a transfer schedule a few days prior to your departure. You are asked to organise your own transfer to your departure port and keep any receipt or record of mileage which you can claim for reimbursement after the course. 

Can I get a Taxi chit? Auaha do not provide taxi chits. Please refer transfers above. 

What happens if my flight is delayed? Please visit the Air New Zealand service desk at the airport and arrange to be on the next available flight. Make contact with the Auaha Event Manager so we may re-arrange your transfer.

What happens if I sleep in? If possible make your way quickly to the airport and organise to get yourself on the next available flight. Make contact with the Auaha Event Manager to advise your situation. Any additional charges for flight changes will be at your cost.

Can my partner stay at the hotel with me? Yes, however you will be responsible for all meals and incidentals for your partner. All additional costs must be settled directly with the Hotel prior to departure.

What happens if want to stay with my friend? It is not compulsory that you stay at the accommodation provided but if you choose to stay with family or friends this will be at your own expense. There is no assistance to cover any costs associated with staying elsewhere. 

What is the cancellation fee? If you cancel your participation after all bookings have been confirmed, we will seek reimbursement of expenses which may include air travel, accommodation, catering cancellation fees.

Claims 

What can I claim? Auaha, on behalf of Ako Panuku, will reimburse participants for reasonable out-of-pocket expenses such as: Airport parking, mileage if using your personal motor vehicle to travel to and from the course (conditions apply), Departure tax. Expenses will only be paid when accompanied by a valid receipt with the exception of mileage where an accurate record of kilometres traveled must be submitted. 

Can I claim for a coffee/snack at airport if my flight is delayed? No. 

What can't I claim? For any course the following costs are excluded and will be at the participants own expense: 
Alcohol/ all beverage (with meals) - own responsibility 
Hotel charges - internet, phone, dry cleaning, movies, cafe coffee, mini bar etc 
Change to flights - if after your flight has been ticketed, the cost of any changes or upgrades are at individual or school expense. 

When will I get paid? Please allow 30 days for your claim to be approved and processed for payment. 

Why do I need to fill in the form? This assists us identify who is submitting the claim, what course the expense relates to so we may qualify your claim without delay and approve for payment. 

What is the difference between charge back and claim back? Charge back is when we have arranged for the hotel or supplier to send an invoice direct to Auaha for costs incurred. Claim back is when you have paid for expenses directly and are entitled to lodge a claim with Auaha for the reimbursement of those expenses.
