The processing of your data (in general)
SWIFT (with registered office at Avenue Adèle 1, B-1310 La Hulpe, Belgium)is committed to protecting your privacy needs. This Privacy Statement explains how your personal data is processed by SWIFT when registering for a SWIFT Event. In this regard, SWIFT will process all your personal data in compliance with the Belgian Privacy Act of 8 December 1992 and the EU General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and other applicable data protection legislation (hereinafter “Data Protection Laws”).
In general, SWIFT will process your personal data provided through the online registration form for purposes relating to your Event registration and (if applicable) hotel reservation, administration, security management, accounting, record keeping, to offer SWIFT related products and services, to conduct surveys, facilitate networking and professional contacts between the participants (e.g. through a mobile application) and, more generally, to exercise SWIFT's obligations, rights and remedies as set out in the EMEA Event Registration Policy.
For these purposes, SWIFT may process the following data pertaining to you: your last name, first name, job title, company name, profile information, attendance dates, contact details (e-mail address, mobile number …), photographs & videos and credit card details (in case of a payable event including registration fees, a hotel booking as well as other services).
In case of a hotel booking, you hereby explicitly agree that for this purpose your contact and credit card details will be transferred from SWIFT to the selected hotel (‘Hotel’). Upon the transfer of your personal data to this Hotel, the Hotel becomes responsible for the processing of this data in accordance with its own Privacy Statement and the applicable data protection legislation.
In addition, SWIFT will only (further) process your personal data as explained below.
If you provide the personal data of another person to SWIFT for registration purposes, you shall ensure that (i) that person has been duly informed about SWIFT's right to process such personal data as set out herein and has been provided with the EMEA Event Registration Policy; (ii) such personal data are collected and supplied in accordance with applicable legislation and without infringing such person's or any third party rights; and (iii) you have obtained his or her prior consent for registering him or her to the Event.
Delegate list
SWIFT will generally prepare a delegate list in advance of each Event. This list includes, by default, the following information per participant: last name, first name, job title, company name and a reference to the Event (date and location). This data might be made available to all event participants for networking purposes.
You agree not to use the delegate list for any other purposes than the purposes mentioned above.
Direct Marketing
We may use your personal data to provide you with commercial communications related to the SWIFT products and services that you use or purchased or the event in which you participated.
Furthermore, you may consent to SWIFT using your contact details to send you additional (personalised) direct marketing communications related to its own events, services and products.
In any case, you can at any time manage your communication preferences and subscriptions to our newsletters by accessing the SWIFT preference centre on swift.com. You will in each commercial communication (through the footer) be offered the possibility to opt-out and to access your preference centre. In case you are a swift.com registered user, you can access your preference centre through the secured area of mySWIFT.
In order to exercise your data protection rights, please refer to the section “Your data protection rights” below. If you choose not to provide your consent during the Event registration process, it will not alter your existing communication preferences with SWIFT, which you can still manage through your preference centre.
Additionally we will ask you whether you agree to be listed on an attendees list including all personal information provided. This list will be shared with exhibitors or sponsors. They might use it for their own purposes including direct marketing.
Note that some exhibitors or sponsors as well as media partners may be located in a country outside the European Economic Area, and by opting-in you consent as well to the transfer of your data to such countries.
Upon transferring your data to the abovementioned parties, the responsibility of further processing of the personal data lies with them. By opting-out (choosing No) you do not authorise such sharing.
Ratings and surveys
Any participant to an Event will - on a voluntary basis - be invited from time to time to rate the sessions and speakers and to participate to any other surveys related to SWIFT Events. The rating and survey results will be aggregated and processed by SWIFT for statistical purposes and published on the SWIFT website (in aggregated form).
Statistics
We may use the personal data you provide for other SWIFT’s internal statistical purposes (e.g. measure yearly trends, attendances, etc.). These statistics will only include aggregated data and will be used in aggregated form for taking internal management decisions.
Photographs and videos
SWIFT reserves the right to photograph and videotape the Event and participants and to use and license such photographs and videos for a duration of 4 years in any internal and external communication referring to the Event or SWIFT, such as on its websites and intranet, or other publications, or in its annual reports as well as on social media channels such as Twitter, Flick'r, Linkedin, Facebook or YouTube for advertising, promotional or other commercial purposes related to SWIFT’s business, products or services.
You hereby consent to such uses and irrevocably transfer and assign to SWIFT the right, title and interest in and to the photographs and videos pertaining to you and any modified forms, reproductions or compilations thereof, including the unrestricted right to publish or reproduce and to license the publication and reproduction of your image. In addition, you expressly recognize that the use of your image (including any reproduction or publication of your image) by SWIFT, as explained above, is authorized free of charge and therefore excludes any subsequent additional request for compensation on a later date.
By consenting to the EMEA Event Registration Policy, you have consented to such uses.
Speakers
At the Event, as a speaker, you agree to comply at all time with the code of conduct included hereunder. By accepting to be a speaker at the Event, you agree that SWIFT records your sessions and uses and distributes the video for commercial purposes as further specified under the photographs and videos section here above.
Subcontracting
SWIFT reserves the right to sub-contract (a) part(s) of its data processing operations related to the registration to the Event to third party service providers (such as GrassRoots Meeting and Events and/or BCD Meetings & Events).In such case, the appointed third party service provider may only process your data on behalf and under the instructions and sole control of SWIFT.
You acknowledge and agree that, where SWIFT sub-contracts part(s) of its data processing operations to a third party service provider, this may involve the transfer of your personal data to a country located outside the European Union which does not provide the appropriate safeguards according to the relevant privacy legislations. You hereby consent to such transfers.
No further sharing of your data
Notwithstanding the forgoing, SWIFT shall not disclose, sell, rent or exchange your personal data to any other organization or entity, unless you are first notified and have expressly agreed with it, or unless as otherwise required by law or requested by government agencies, such as law enforcement authorities, for example in the framework of a judicial procedure.
Your Data Protection Rights
Your personal data will be kept by SWIFT for 5 years after the last interaction you had with SWIFT, after which your personal data will be deleted.
During this period, you have the right to consult, correct, restrict and even erase your own personal data (in accordance with the Data Protection Laws) and can oppose to the use of your personal data for direct marketing purposes.
In addition, you can withdraw your consent at any time and without motivation for those types of data processing to which you consented. Note however that this does not affect the lawfulness of the data processing based on your consent before the withdrawal.
Finally, you have as well the right to oppose to the processing of your personal data for the security purposes mentioned above if you believe that in this case the legitimate interest of SWIFT is overridden by your own interests and/ or data protection rights. In this case, SWIFT shall no longer process your personal data for these security purposes unless it can demonstrate compelling legitimate grounds for this processing which override your interests and/ or data protection rights or for the establishment, exercise or defence of legal claims.
You can update your own privacy settings and change your personal data at any time through the preference centre on swift.com. In addition, you may exercise your data protection rights by sending your request together with a proof of your identity to SWIFT's Privacy Officer (privacy.officer@swift.com).
If you have any other questions or complaints regarding the processing of your personal data, you can also contact the SWIFT’s Privacy Officer or lodge a complaint with the supervisory data protection authority. WIFI
Where applicable, SWIFT will allow you to access and use the free WIFI of the conference centre. You are required to use the WIFI legally, professionally and in accordance with the Code of Conduct (as provided in the related Event registration policy), in a way that would not violate the right of any third- party or create any interference on the network.
The WIFI may be monitored for security and quality control purposes. In this regard, only your IP address and traffic data are processed (without any link to your name or contact details).
Only if further investigation is needed, your personal details may be used in order to contact you to gather further information or to discuss our concerns or be able to respond to a threat. Illegal use or serious security breaches may be reported to the authorities or any competent law enforcement agency.
Miscellaneous
This Event Privacy Statement will be updated from time to time and without prior notice to you. Therefore, we recommend you to check this Privacy Statement for modifications on a regular basis. SWIFT will indicate at the top of this Event Privacy Statement when it was most recently updated.
