CONFERENCE INFORMATION


When and where is the SWLC Study Week?


The 2015 SWLC Study Week will be held at the Amarillo Civic Center in Amarillo, Texas.




Who attends the Study Week?


The Study Week will benefit clergy, religious, catechists, extraordinary ministers, lectors, ushers, music ministers, liturgists and anyone seeking deeper knowledge of their faith. Approximately 1,000+ attendees are expected.

What is the Attendee List?


The online Attendee List gives you a look at the current attendees. When you register, you can choose whether or not you want your name and organization to appear on this list. View the current attendee list here.




What is the dress code for the Study Week?


Attire is business casual. Feel free to be comfortable in slacks, polo shirts, sweaters, blazers, blouses and most importantly, comfortable shoes. We recommend you dress in layers as temperatures in meeting rooms can vary.




What is the dress code for the Faithful Servant Award Banquet?


Most who attend the banquet will be in cocktail attire … suits for men and dresses for women. However, you will see a little bit of everything that evening.




Will child care be provided while I’m attending the conference?


SWLC does not provide child care services during SWLC Study Week. Attendees requiring assistance with child care should contact the hotel concierge.




I need a W–9 form. Where can I get it?

Are scholarships available for the Study Week?


No scholarships are available through the SWLC.  Please contact your local diocese for scholarship availability.


REGISTRATION


When is the registration deadline?


Early-bird registration is open through December 15. Regular registration is open December 16-January 20. Onsite registration opens January 21.




What is the cancellation policy?


Requests for cancellation and refunds must be in writing via email.
A refund will be issued, less a $25 processing fee, if the cancellation request is received by December 19, 2014. No refunds will be made for cancellations received after December 19, 2014. Send cancellation requests to info@wciconferences.org.




Is there a discount for early registration?


Yes! The early-bird registration rate is available until December 15. A complete list of rates can be found here.




Can I register onsite for the conference?


Yes! Online registration will be open throughout the conference. Click here for the prevailing rates.




I am only able to attend the conference one or two of the three days. Is this okay?


Yes! The conference is structured such that your registration fee covers any and all sessions, musical performances, prayer services, and the exhibit hall. You are free to come and go as you please; the price of ticket includes all three days' activities, but you may, of course, attend only one or two of the days. Just remember that your name tag is your ticket into the various happenings at the conference and must be worn at all times to access conference activities/sessions. Single-day registrations are also available if you will only attend a single day.




Are purchase orders accepted for payment?


Yes. Registrants can select Invoice-Paying by check and/or purchase order as the payment method during online registration. Once complete, print a copy of the invoice and mail with the purchase order.

Will I receive a confirmation of my registration?


A confirmation of your registration will be sent to you via email upon registering online. The confirmation will come from the email address info@wciconferences.org, so please add this address to your "safe list." For registrations made with payment by check, please allow time for processing; confirmation of registration will be sent via email immediately upon processing. If you do not receive confirmation after 30 days, please contact us at 405.360.1084 or info@wciconferences.org.




If the event is canceled, will the registration fees be refunded 100%?


Yes




Is the registration transferable if I need to send someone in my place?


Yes. You can access and update the registration record using the email address and reference number provided in the original confirmation email.




What does my registration fee include?


Full attendee registration includes access to all conference sessions and one banquet ticket.




Is food included with my registration?


One banquet ticket is included with each Full Attendee registration. No other meals are included with registration.




Can I bring my own food to the conference?


Unfortunately, no outside food is allowed in the Amarillo Civic Center.




How will I receive my nametag?


When you arrive at the Amarillo Civic Center and check in at a registration desk you will receive your nametag. If you purchased any meal or special option tickets, you will receive these with your nametag.




What if I lose my nametag?


You may come to the registration desk to obtain a replacement badge.




I am a member of the press. Do you have press registration?


We welcome professional editorial staff (including photographers and camera crews) of print, online, and broadcast media to cover the SWLC Study Week on complimentary basis. Other publications staff (non-editorial positions, such as publishers, advertising directors, and advertising representatives) may attend the Study Week only if exhibiting and must pay all related fees. Members of the media interested and eligible to obtain press registrations should contact info@wciconferences.org.


LODGING


What is the cut–off date to make changes to or cancel hotel room reservation?


Any changes or cancellations to hotel reservations need to be emailed to info@wciconferences.org. Hotel cancellations must be made one business day prior to your selected arrival or your credit card will be charged one night room and tax.




Does it matter which hotel I choose?


The official conference hotel is the Ambassador Hotel, which will have rooms available for only $119/night + taxes. For more information, click here.




Can I make my hotel reservations now?


Hotel reservations will be made during the online conference registration process. To receive the conference hotel rates, make your reservations online during registration, DO NOT call the hotel directly.




Will I receive a confirmation of my hotel reservation?


A confirmation of your reservation will be sent to you via email the week prior to the event. The confirmation will come from info@wciconferences.org, so please add this address to your "safe list." Only one confirmation will be sent, so please be sure to watch for it. Please note that the confirmation will NOT come directly from the hotel at which you will be staying.

Is there reserved seating in the general sessions?



There is no reserved seating in the General Session. Feel free to sit where you like!






How do I ensure that I get into my desired sessions?



Guaranteed pre–registration for a session is not available. In an attempt to accommodate everyone, we ask you to pre–select your sessions during online registration. Your selections will be printed on your conference nametag. If you desire to attend a specific session, the best way to ensure a seat is to arrive early. Many of the most popular speakers/topics will be located in larger rooms. That will help to ensure that more people are able to attend their session of choice.






If a session is full, what do I do?



We suggest that you get to the assigned meeting room at least 15 minutes prior to the start of the session to obtain a seat. You should also note the top two sessions you want to attend during a particular time slot, then you will have a back-up should a session fill up. Please note that all session rooms are set to help foster a creative learning environment and are set to the maximum number of seats allowed per the Fire Marshal.






Will the sessions be recorded for purchase?



Yes! Ordering information will be on the Study Week website and at www.swlc.org when available after the Study Week concludes. Handouts and copies of session slides will be available on this website from speakers who provide their materials.

Will transportation be provided during the Study Week?


Yes! Transportation between the Amarillo Civic Center and official Study Week hotel will be available at intervals during the day, at least once in the morning and once in the afternoon.




Is there accessibility for persons with disabilities at the Civic Center?


The SWLC and the Amarillo Civic Center strive to meet each attendee’s need. For people with disabilities, that means providing a fully accessible environment.
