Kona is a district on the big island of Hawaii, that spans two-thirds of the west side. Bursting with history and beauty, Kona doesn’t cease to entertain. Venture through the shops or take tours of the Hulihee Palace, Mokuaikaua Church, and the Ahuena Heiau. Kona is famous for its Kona coffee. Don’t miss out on sampling the distinctive flavors while in town.

We will be in two resorts for this incentive trip. Both resorts are located in the Waikoloa Beach Resort complex, and are in close proximity to two championship golf courses, many dining options, and the King’s and Queen’s MarketPlace for shopping. For the beach lovers, both resorts are within walking distance to Anaeho’omalu Bay (A-Bay). 

The Hilton Waikoloa Village and the Waikoloa Beach Marriott are within walking distance of each other, but during times where we have official activities at either resort we will provide transportation. We want you to be able to mingle and enjoy time with all the other participants of the trip. We encourage you to use services, restaurants, pools, spas, and entertainment at both resorts!

Hilton Waikoloa Village has a wide variety of resort activities to choose from and is the perfect starting point to explore Hawaii Island, the Island of Adventure. Set in 62 oceanfront acres, the resort boasts endless opportunities including interactive dolphin encounters, snorkeling, kayaking, and standup paddle boarding. You can also have fun in one of three pools with water slides, waterfalls, and other fun features. On land you can explore the resort by foot or take a leisurely ride in a canal boat or on the tram. Walk along the museum walkway with Asian and Polynesian artwork or just relax in a hammock. Get pampered at Kohala Spa or get fit on our stadium tennis court or the two championship golf courses within Waikoloa Beach Resort.

Guests seeking relaxation and rejuvenation will find it all at the luxurious Waikoloa Beach Marriott Resort & Spa. This newly redesigned resort offers spacious, modern accommodations with patios and lanais overlooking the beautiful Anaeho'omalu Bay. The transformed Na Hale wing offers an intimate residential experience and are some of the most coveted Big Island guestrooms and suites across the resort. Step out onto the pristine, white, sandy beach (the only one of its kind in the resorts area), play in one of the three outdoor pools and go down the waterslide, or golf on two 18-hole championship courses within the Waikoloa Beach Resort.

AIRPORT TRANSFERS

To book your complimentary private dōTERRA airport transfers, click HERE and follow the directions to proceed with your booking. If you plan to arrive into Hawaii on the main program arrival day (January 20), or plan to depart on the main program departure day (January 24), your airport transfers will be covered by dōTERRA for you and all your guests.

If you plan to arrive or depart on a different day other than the main program days mentioned above, you will be responsible for your own airport transfers. If you are deviating from the main program dates and are responsible for your own transfers, you are still welcome to book your airport transfers using the above link, and can just pay directly with a credit card. All transfers must be booked no later than Friday, December 13, 2019.

If you are not planning to book your airport transfers through us (using the link above), and you prefer to arrange your own transportation in Hawaii, it is still vital for us to collect your flight information in order to confirm your travel plans. Sandalwood Farm Tour

The Kealakekua Mountain Reserve (KMR) is located on an old ranch, which was overgrazed and over-logged, inhibiting natural regrowth. Although several key native species are difficult to find on the island due to its history of over-harvesting, there are still many indigenous trees in the forest, which covers approximately 9,000 acres of the recently formed Reserve. 
 
To form the Kealakekua Mountain Reserve, a conservation easement was signed to protect these previous native plants, including Sandalwood trees. This management plan outlines harvesting limitations that must be followed at KMR to guarantee the regeneration and prosperity of the forest. Although some tree harvesting will be done in KMR, the amount and types of wood that will be harvested are overseen by our management plan and the Hawaiian government, so as to support our efforts to re-establish a healthy forest in KMR. In order to protect the immediate growth and regeneration of the Sandalwood trees, the management plan specifies that no living Sandalwood trees should be harvested at this time. At the outset of our efforts, only dead or severely damaged trees will be collected, which will allow existing, healthy trees to grow to full maturity before they are harvested at the appropriate time under sustainable tree management practices. 
 
With these reforestation efforts in place, sustainable harvesting of Sandalwood will be possible without compromising our initiative to restore the forest to its original beauty. The KMR Reserve, the management objectives, an extensive nursery, and our ambitious reforestation efforts will all synergize to help Sandalwood and other native Hawaiian species thrive once more. We anticipate that KMR will be the largest native forest planting effort in the state of Hawaii starting in 2020.

What if I already registered for the Presidential and Blue Diamond Summit?

If you are planning on attending the Presidential and Blue Diamond Summit (Presidential Diamond arrival on January 15 or Blue Diamond arrival on January 16 with departure on January 18) you still need to register for the Incentive Trip below. Each trip has a separate registration and BOTH registrations need to be completed if you plan to attend both trips.

How do I book private dōTERRA transfers from the airport?

Please see the Airport Transfers tab for more details. It is vital for us to collect your flight information in order to arrange your transportation and confirm your travel plans. Please note that the deadline to book your airport transfers or email us your flight itinerary is Friday, December 13, 2019.

Whom should I tip?

Customary gratuities have been taken care of on your behalf for all resort and airport staff, as well as all staff involved in our functions. Gratuities for services you book yourself (tours, spa, or salon services) are not included and would be at your own discretion.


REQUIRED DOCUMENTATION

What type of identification/documentation is required for this program?

It is your responsibility to be in possession of the proper personal identification and travel documents for your trip. Guests without proper documentation will be denied transit and/or entry, and will not be eligible for a refund of travel or personal expenses.

Domestic U.S.: For travel that commences, terminates, and stops only in the 50 United States, all adults 18 years or older are required to have valid government-issued photo identification. Acceptable forms of identification for domestic travel include a valid driver’s license, military I.D., state-issued photo identification, or passport. Please visit https://www.tsa.gov/travel/security-screening/identification to view all acceptable forms of identification.

If your state does not participate in, or is not yet in compliance with, the REAL ID Act, you may be required to have a valid U.S. Passport for domestic travel. For more information about the REAL ID Act, please visit the U.S. Department of Homeland Security REAL ID Act website. 

International: For travel that commences, terminates, or stops in any destination outside of the 50 United States, passengers of all ages are required to have a valid passport (including infants and children under the age of 18) valid for six months beyond the return date of this trip. As requirements vary for each nationality and individual citizen's situation, we recommend all travelers verify their individual documentation requirements with their local consulate or a visa service, such as VisaCentral (http://visacentral.com/). Obtaining a passport and/or visa requires several weeks, so please plan appropriately. What is the cost to bring additional guests?

If you would like to bring additional guests with you on this trip, pricing is listed below. Please note airfare is not included. Be advised the maximum occupancy sharing a room at the resort is four (4). If you would like to bring more guests than allowed, you will be responsible for booking an additional room (subject to availability) - please email Event Support at eventsupport@morrisincentives.com

I see airfare is not included in the additional guest packages. Can I book airline tickets for my additional guests through Morris Meetings & Incentives?

Yes. Please note additional guests are subject to a $75 per person ticketing fee.

What is the cancellation and change policy?

Winner Cancelation Policy

  • If you cannot attend the trip, and choose not to sell or gift your prize, please also notify doTERRA (recognition@doterra.com) prior to or by October 31, 2019 by 12:00 pm MDT.
  • Prizes may be gifted or sold to whomever the winner chooses. Winners are responsible for the handling of the sale or gift of the trip and must notify doTERRA (recognition@doterra.com) prior to the deadlines. Prizes cannot be redeemed for cash or points. Awards must be gifted or sold by October 31, 2019 by 12:00 pm MDT (no exceptions will be made).
  • You may cancel additional guests booked beyond your complimentary guest and receive a full refund, minus a 5% processing fee, up until November 15, 2019 at 12:00 pm MDT.
  • No changes to registrations can be made after November 15, 2019 at 12:00 pm MDT.

Buy-ins Cancelation Policy

  • All buy-ins must be registered by November 15, 2019 by 12:00 pm MDT.
  • If you cannot attend the trip, and choose not to sell or gift your purchased trip, please notify doTERRA (events@doterra.com) prior to or by Nov 15th, 2019 by 12:00 pm MDT. Any cancelations after that date will result in no refund.
  • Any trip cancelations for those that purchased them between Sept 1st – Nov 15th will result in a $500 cancelation fee.
  • No changes to registration can be made after November 15, 2019 at 12:00 pm MDT.
Can I extend my stay?

Yes, of course!

  • The cost to extend in a Run of House Room at the Hilton is $259 plus tax and resort fee per room per night. If you are a 3rd place winner or higher, rates may vary.
     
  • The cost to extend in a Run of House Room at the Marriott is $239 plus tax and resort fee per room per night. 

Please note that additional pre/post nights with our group rate are based on availability at the time of request.  

You will be responsible for any additional costs (including resort, transportation to/from the airport, and any increase in airfare) incurred by your request. After confirming your extension nights with the hotel, you will responsible for paying at the hotel upon check in. If you cancel within 30 days or no-show, you will be charged accordingly for the nights you reserved.

PLANNING AHEAD

What will the weather be like? What should I pack?

January in Hawaii is warm and prone to rain at night and in the highlands. At this time of year, the average temperature ranges from 68°F to 79°F.

Pack light, comfortable clothing, including walking shorts, Capri-style pants, light trousers, short-sleeved shirts, and dresses. Make sure you pack a pair of comfortable sandals or shoes, and don't forget a swimsuit, sunglasses and sunscreen. You may want to bring layers such as a sweater or wrap, for possible cooler evenings.

How much luggage can I take?

Most carriers charge a fee for checked luggage. Please check with your airline for current fees. Baggage allowance and costs vary by destination and fare type. Your carry-on must be able to fit in the overhead compartment or under the seat in front of you.

What items should I keep with me in my carry-on luggage?

Please pack your valuables and things you will need within the next 24 hours in your carry-on luggage. These include (but are not limited to) your passport/government issued ID, credit cards/cash, laptop, cell phone, jewelry, glasses, contact lenses and solution (note size limits), and medication. Your checked bags will be inaccessible or may become lost during the trip.

Should I purchase travel insurance?

Because unforeseen circumstances may arise, we recommend that you purchase travel insurance to protect any personal travel arrangements you may make or medical situations your health insurance may not cover while away from home. We suggest you consult your insurance provider to determine what coverage you will have while traveling.

We recommend Arch RoamRight’s® Pro Plus Plan, which includes coverage for trip delay; emergency medical treatment or evacuation; lost, stolen, or damaged baggage; or baggage delay. Do I need to have health insurance coverage in order to travel?

We highly encourage all travelers to carry proof of health insurance coverage. Mandatory health insurance coverage for entry into foreign countries can be required. Participants can be denied entry into countries that request proof of health insurance coverage and are unable to provide documentation. Medicare coverage does not apply or cover any medical needs outside the U.S. unless travelers have supplemental insurance such as Medicare Advantage and Medigap.

FLIGHT ARRANGEMENTS & INFORMATION (GRAND - 4TH PRIZE WINNERS ONLY)

What kind of airfare is included in my package?

Based on your qualification level, you may or may not have air covered as part of your reward. Please click here to view what is included per qualification level.

When and how will my flights be booked?

After you submit your registration, you will be contacted via email by one of our professional Flight Coordinators. Flight suggestions are made based on the preferences and parameters you set in your registration, and then ticketed pending your approval. Please keep in mind most itineraries will expire within 24 hours if not ticketed, and all fares are subject to change until ticketed. If you have any special requests, please be sure to include them during the registration process (including frequent flyer number, seat preferences, etc.).

How long do I have to confirm my intinerary after a Flight Coordinator has contacted me?

Fares are always subject to change and availability until ticketed, and most itineraries must be ticketed within 24 hours of booking or they expire. Replying quickly increases your chances of getting the most convenient schedule possible as well as preassigned seat assignments (subject to availability).

Will I earn frequent flyer miles for my flight?

If you have a frequent flyer account with the airline you will be flying on, you may be eligible to earn miles for your flights. Mileage accrual methods vary from airline to airline, and some tickets may not be eligible for mileage accrual as dictated by the fare rules. Airlines with agreements (One World, SkyTeam, Star Alliance, etc.) typically allow mileage accrual on partner airlines. Check with the airline for specific information about mileage accrual eligibility.

Can my TSA Known Traveler Number (KTN) or Redress Number be attached to my reservation?

Please provide your KTN or Redress Number during registration, if possible, or provide it to your Flight Coordinator when confirming your flights. Please be advised that the name on your ticket must match the name on your KTN application and the name on the identification you are using to travel or in order to receive TSA Pre-Check benefits.

What dates/times should I book my flights to arrive/depart?

If you are a 5th or 6th Prize winner, or a Buy-in, please make your flight arrangements to arrive/depart from the main international airport in Hawaii Kona International Airport (KOA). Group arrival date is January 20, 2020 and group departure date is January 24, 2020. To make sure you are able to attend the welcome dinner on January 20, please be sure to arrive in Kona prior to 5:00 pm.

FLIGHT UPGRADES (GRAND - 4TH PRIZE WINNERS ONLY)

Can I pay to upgrade to First Class/Business Class/Premium Economy?

Your Flight Coordinator can provide you with the cost of upgrading to a premium cabin or seat upon request. Many airlines have premium seats with extra legroom and priority boarding for an additional cost. These seats can be purchased through your Flight Coordinator, on the airline’s website, or by contacting the airline’s reservations department.

Can I use my frequent flyer miles to upgrade?

Morris Meetings & Incentives does not have the ability to view mileage upgrade availability, and cannot quote the number of miles needed to upgrade. If you wish to use frequent flyer miles to upgrade, we suggest taking an air credit and speaking with your preferred airline directly.

FLIGHT TICKET CHANGES / CANCELLATION (GRAND - 4TH PRIZE WINNERS ONLY)

Can I make changes to my itinerary after my ticket has been booked?

Fares are subject to change at any time based on availability, and are not guaranteed until ticketed. Any cost associated with changes made beyond the 24-hour cancellation time frame after the tickets have been issued will be at your expense, including penalty fees and applicable fare difference. Fare difference may apply for changes made during the 24-hour period after the ticket is issued, but the change fee will not apply.

Is there a fee to change my flights?

With the exception of Basic Economy fares, most airlines permit changes to be made to your ticket any time prior to departure, and most airlines require change fees in addition to the difference in fare. All airlines charge difference in fare for flight changes, even if they do not charge a fee for changes. Most airlines charge a $200 change fee for domestic flights, and some flights to Canada, Mexico, and South America; change fees for international flights can be $300-400 depending on the airline and the destination. Please check with the airline, or our Flight Coordinator team, for specific change fee amounts.

What if I need to cancel? Can I use my ticket in the future?

Unless otherwise stated, all tickets are non-refundable and expire one year from the date of issue. Fares are subject to change at any time based on availability, and are not guaranteed until ticketed. Any cost associated with changes made beyond the 24-hour cancellation time frame after the tickets have been issued will be at your expense, including penalty fees and applicable fare difference (fare difference may apply for changes made within 24 hours). Unless previously agreed upon, neither MMI nor the program sponsor will cover the cost of change fees or fare difference for voluntary changes and/or name corrections.

What if the name on my ticket does not match my identification?

In order to be in compliance with the TSA Secure Flight Program, both the TSA and the airlines require that the name on your reservation matches the name on the government-issued photo identification you present at the airport. This requirement supersedes any requirement for airline frequent flyer accounts to match the name on your ticket, and you may need to submit a request to have the name on your airline frequent flyer account changed to match your I.D.

Can I change the name on my ticket or my guest's ticket?

Unless otherwise stated, all tickets are non-transferable, which means that the name on the ticket cannot be changed. If your name is misspelled, or if you need to make a minor name correction, please contact the Flight Coordinator who booked your tickets. Be advised that name corrections made after the 24-hour free change and cancellation period may be subject to a name correction fee. 

Unless previously agreed upon, neither MMI nor the program sponsor will cover the cost of change fees for voluntary changes and/or name corrections.

SEAT ASSIGNMENTS (GRAND - 4TH PRIZE WINNERS ONLY)

Will my preferred seat type be assigned for me?

Flight Coordinators will do everything possible to assign you in your preferred seat type (e.g. window, aisle, bulkhead, etc.). However, seat requests cannot be guaranteed. If your preferred seat type is not available, a Flight Coordinator will assign the best seat type available.

Should I be concerned if I don't have a seat assignment? What if my guest and I aren't seated together?

In some situations it may not be possible to pre-assign seats at the time of booking, or assign you and your guest(s) seats together. This is either because all pre-assigned seating is full, or the airline has an open seating policy. If you do not have seat assignments when you arrive at the gate, (or if you wish to change your seat assignments), you may speak with the gate agent about available seats. A limited number of seats are held exclusively for gate agent use on the day of departure. As these seats are limited, it’s best to arrive at the gate at least an hour prior to departure for the best availability.

CHECKING IN FOR YOUR FLIGHT

24 hours prior:

We strongly suggest checking in online for your flight. Online check-in is typically available within 24 hours of flight departure time. You can also pre-pay luggage fees, reconfirm/change your seat assignment, and sign up for flight updates. If you are ticketed on a group space booking, you will only be allowed to check in on your day of departure at the airport, to find out which type of ticket you have been issued, please contact your flight coordinator.

Day of Departure:

Please reconfirm your itinerary prior to leaving for the airport, as schedule changes and flight delays are common. You can also download the airline's mobile app to access your boarding pass and view flight changes/updates.

For domestic flights, the standard recommendation is two hours prior to departure. However, recommended arrival times vary by airport and may be longer, so it’s best to check the airport website. This time accounts for parking, shuttles, check-in/baggage drop-off, security screening, and arriving at your departure gate no later than 30 minutes prior to your scheduled flight departure time. 

For international flights, the standard recommendation is three hours prior to departure. However, recommended arrival times vary by airport and may be longer, so it’s best to check the airport website. At the airport:

At the check-in counter or kiosks, you'll be asked to present your identification and check your luggage (if any). If you are checking luggage, please verify it is checked through to your final destination. Keep in mind gate assignments can change, so keep an eye on the airport monitors for flight updates.

AT THE AIRPORT

When should I be at the gate?

Most airlines close the boarding doors 10 minutes prior to the scheduled departure time to allow time to complete final paperwork and baggage loading. Whenever possible, passengers should be at the assigned departure fate no later than 30 minutes prior to the scheduled departure time for domestic flights. For international flights, passengers should arrive 45 minutes prior to scheduled departure time because gate agents will need to re-verify passports prior to baording. Please check with the airline carrier, for their specific recommended gate time frames.

When does boarding begin?

Boarding typically begins 20-30 minutes prioor to the scheduled departure time for domestic flights, and 45-60 minutes prior to the scheduled departure time for international flights. Depending on the connection airpoirt, connecting flights may only allow as little as 30 minutes between the first flight arrives and the second flight departs. It is imperative that you get to your next gate as quickly as possible, and if needed, find a restroom within the vicinity of your next gate or use the lavatory onboard your next flight. Please check with the airline carrier, for their specific recommended boarding timeframes.

TRAVEL DOCUMENTS

When will I receive my travel documents?

You will be emailed your personalized Travel Summary a few weeks prior to travel. We will be preparing a mobile app* which will be available a few weeks prior to the trip. The app will be a wonderful and easy to use resource while you are on the go! Our app will include the agenda, trip information, answers to frequently asked questions, and more. Specifics regarding when and how to download the app will be emailed out closer to the trip. You will want to be sure to download the app before you leave. 

*Data rates will apply when you are not connected to Wi-Fi at the resort. Any resulting data charges would be at your own expense.

*Please note that there will be a separate mobile app for the Presidential and Blue Diamond Summit
