GENERAL QUESTIONS 

Q - WHERE IS THE CONFERENCE BEING HELD?
A – This year’s Conference is being held at the Radisson Blu Hotel, Calea Victoriei 63 - 81 Sector 1, 10065 Bucharest, Romania

Q - WHEN IS THE CONFERENCE?
A – This year’s Conference runs from the 23th of October to the 28th of October. You can check-in on the 22nd October and avoid the queues!

Q - IS THERE AN AGENDA FOR THE EVENT?
A –Whilst our Call for Papers remains open we do not have a detailed programme to share. For planning purposes a summary agenda is as follows: 
  • Saturday 22nd October – Registration 
  • Sunday 23rd October – Registration / Welcome Reception 
  • Monday 24th October – Plenary and Workshop Sessions / Host Reception 
  • Tuesday 25th October - Plenary and Workshop Sessions / Distinguished Scholar Lecture / ICPA Annual General Meeting 
  • Wednesday 26th October - Plenary and Workshop Sessions / ICPA Correctional Excellence Awards Ceremony and Gala Dinner
  • Thursday 27th October - Plenary and Workshop Sessions 
  • Friday 28th October – Prison Visits 
Q - IS THERE A DRESS CODE FOR THE CONFERENCE OR EVENING ACTIVITIES?
A – We want you to be comfortable. Although we don’t stipulate a dress code we suggest smart business-casual attire during conference sessions. For the Wednesday evening Gala Dinner we encourage National Dress - whatever you prefer, it’s an opportunity to dress up for a memorable night!

Q – DO I NEED A VISA TO VISIT ROMANIA?
A – Yes, depending on your country of origin. For more information and costs contact your local embassy. Please ensure that you have also checked visa/entry requirements for any transit countries you may be passing through.*Please note that ICPA are not responsible for applying for Visas on behalf of delegates. 

Q – I HAVE NOT RECEIVED A CONFIRMATION EMAIL FOR MY REGISTRATION?
A - Please check your Junk/Spam/Clutter mailboxes as sometimes ICPA Conference emails can be diverted there.  Please add contacticpa@icpa.ca to your known addresses as a way to avoid this.

Q – HOW DO I CLAIM MY ICPA FULL MEMBERSHIP AS PART OF CONFERENCE REGISTRATION?
A - If you have registered as a non-member of ICPA your package includes a one year Full Membership of the Association. This will automatically become active on the 1st July 2016 and expire 30th June 2017. The one year Full Membership is not available to those already registering with an existing Membership Plan, Discount Code or Day registrations.



COMPANION PROGRAMME 

Q - WILL THERE BE A COMPANION PROGRAMME THIS YEAR?
A – Yes, ICPA together with our host, the National Administration of Penitentiaries have organised a program which will run from the 23rd – 28th October for partners of our conference delegates.

Q - WHAT IS THE COST FOR THE COMPANION PROGRAMME?
A – The partner program costs US$350 per person.

Q - CAN I BRING MORE THAN ONE PARTNER?
A – Our online system only allows you to register one additional guest for the Companion Programme. If you need additional places simply send us an email to arrange – contacticpa@icpa.ca

Q - CAN COMPANIONS ATTEND THE CONFERENCE SESSIONS?
A – No. Access to conference sessions is for registered delegates only. However, companions may join you on the evening receptions and Awards Dinner. 



REGISTRATION 

Q - HOW DO I REGISTER FOR THE CONFERENCE?
A – Registration is easy. Simply visit www.icpa.ca/bucharest2016 and complete the registration form online. You can choose to pay immediately via our secure online payment page or request an invoice (payable within 30 days). 

Q - HOW MUCH DOES CONFERENCE REGISTRATION COST?
A –We have an early-bird rate which ends on 31st August at 2300EEST. The rates are as follows (in US dollars):

Early Bird Rate - ICPA members - $ 850

Early Bird Rate - Non-Member - $ 900

After 31st August - ICPA Member Rate - $ 950

After 31st August - Non-member Rate - $ 1000

Day Rate (per day) $300


Q - WHEN DOES THE EARLY BIRD RATE FINISH?
A – To be eligible for the early bird rates you must register and pay in full prior to 31st of August 2016.  

Q – I NEED TO CANCEL MY REGISTRATION. WHAT DO I DO?
A – Email us on contacticpa@icpa.ca. Remember to cancel before early otherwise a cancellation fee may apply. Also remember to cancel your accommodation booking as ICPA is not responsible for these arrangements. 

Q – I HAVE MADE A MISTAKE DURING REGISTRATION. CAN I FIX THIS?
A – Using the details on your confirmation email you received after registering, you can access and modify your booking online under the Registration section of our conference website.

Q – I HAVE REGISTERED AS A NON-MEMBER, HOW DO I CLAIM MY COMPLIMENTARY MEMBERSHIP?
A - Delegates who register on the Non-Member rate are provided a Complimentary Code for one year of Full Membership with ICPA. Your membership will be activated from the 1st July for a period of 12 months, including those who register after this date. Complimentary Codes are only given upon successful payment of the registration fee.

Q – IS THERE A FEE FOR CANELLING MY REGISTRATION?
A - Yes. Please note that there is a charge for the late cancellation of your conference registration*.
For cancellations between 1st August and 15th October 2016 there will be a fee of US$75
For cancellations between 16th October and 22nd October 2016 there will be a fee of US$150
Registrations that are not cancelled in advance 'no-shows' are non-refundable.

Any unpaid conference registrations will become void on 15th October 2016

*These charges are applied to offset administrative costs and advance orders made in preparation for this conference




ACCOMMODATION 

Q - WHAT HOTEL DO YOU RECOMMEND?
A – For convenience we suggest staying at the conference venue, the Radisson Blu Hotel Bucharest and take advantage of the special rate being offered to ICPA delegates.

Q – HOW DO I GET THE SPECIAL RATE AT THE RADISSON BLU HOTEL BUCHAREST?

SPEAKERS 

Q – I WILL BE PRESENTING AT THE CONFERENCE. DO I HAVE TO REGISTER?
A – Yes. All presenters must register for the conference for security and safety reasons.  If you do not have an ICPA issued badge, you will not be able to enter the conference. No exceptions.

Q – I WANT TO PRESENT AT THE CONFERENCE. WILL MY REGISTRATION FEE BE WAIVED?
A – No. ICPA does not cover the travel, accommodation or registration fees of speakers attending the conference.  



EXHIBITION 

Q – CAN I RESERVE A BOOTH IN THE EXHIBITION AREA?
A – Yes but be quick! We have a very limited area for exhibition booths. Email contacticpa@icpa.ca for pricing, options and reservations.

Q - HOW DO I SHIP ITEMS TO THE EVENT VENUE?
A - For shipping information please email our team at contacticpa@icpa.ca. Ensure that you ship ahead of time to allow for customs clearances. We advise you seek a customs broker for large or expensive shipments.
